The Receptionist receives answers phone calls and receives visitors to the Office of the Public Defender. The receptionist is often the first point of contact with the office for our clients.
Welcome all visitors to the Office of the Public Defender including clients & their family members, attorneys, and any other guests to the office.
Interacts with visitors to gain information necessary to facilitate their meeting with the appropriate Defender staff.
Answer phone calls and messages, ascertaining the nature of the call, identifying where to direct the call and providing information within authorized limits.
Keeps data relative to calls and visitors to the Office of the Public Defender.
Provides information to visitors and callers about relevant social service or government agencies when necessary.
Assists with other office administrative duties when necessary.
High school graduate or equivalent.
Prior experience in a high-volume customer service position.
Strong verbal and written communication skills (Spanish fluency preferred).
Able to multitask, prioritize, and manage time efficiently.
Strong problem-solving abilities, with the capacity to address client inquiries and office issues promptly and effectively.
Strong organizational skills, including the ability to manage multiple tasks simultaneously, prioritize effectively, and maintain accurate records.
Proficiency in Microsoft Applications (Office, Word, Excel, PowerPoint, Outlook, Teams).
While performing the duties of this position, the employee is frequently required to stand, walk, utilize a keyboard, sit, bend at the waist, and talk or hear. Occasionally, the employee will need to reach or work with arms above shoulder height, kneel, stoop, crouch or squat, crawl, climb stairs, twist or rotate at the waist while working; push, lift or carry items.
